Content review: October 29, 2026. If a bank statement shows an unfamiliar merchant name and the amount resembles a recent purchase, start by matching the transaction details to an order or receipt. If there are clear signs of unauthorized activity, contact the card issuer immediately instead of waiting until every detail is identified.

This is a rules summary for individuals and small teams reviewing online payment statements. It focuses on matching transactions to orders and distinguishing billing errors from suspected fraud. Your issuer’s channels, deadlines and protection measures control the actual process.

An unfamiliar merchant name is only a clue

Some merchants use a billing descriptor or address that differs from the consumer-facing brand. Review the transaction details and check whether another authorized user made the purchase. An amount that happens to match does not prove two records refer to the same order.

Step 1: record the transaction from the official bank channel

Open the bank app or website you normally use and record the displayed merchant name, transaction and posting dates, amount, currency, last four digits and any reference number or status. Mark unavailable information as unconfirmed rather than guessing.

If the card is lost, a verification alert was not initiated by you or several unknown transactions appear, report them through the official bank channel or the number on the card. Do not delay a fraud report while building a spreadsheet, and do not call a “refund hotline” from an unknown text message.

Step 2: match the transaction to an order or receipt

  1. Search purchase records: Check shopping, subscription and travel accounts within the relevant date and amount range.
  2. Check the purchase channel: Consider direct merchant checkout, an app store and a booking intermediary, not only the account you use most often.
  3. Read the receipt: Compare the company or billing descriptor on the receipt with the bank details.
  4. Ask authorized users: For a shared payment tool, confirm the order with the responsible person.
  5. Complete the evidence: If it still cannot be matched, contact the merchant through its verified website and retain the response.

A useful reconciliation row is: bank descriptor | merchant or order | order number | amount and currency | card suffix | responsible person | evidence. Similar names and dates help narrow the search but do not replace an order or official confirmation.

Step 3: choose the right response

  • It is a normal order: Keep the match for future reconciliation.
  • The order is recognized but the amount or count is wrong: Collect the receipt and ask the merchant; if unresolved, follow the issuer’s dispute process.
  • Neither you nor an authorized user made it: Report suspected unauthorized activity promptly and follow the issuer’s lock, replacement and investigation steps.

Do not describe a genuine purchase as fraud to speed up handling, and do not assume locking a card cancels every recurring charge. Ask the issuer how recurring payments are handled.

How to contact support

On [date], I saw a [amount and currency] transaction on the card ending in [last four digits]. The statement descriptor is [name] and the status is [status]. I checked [order, subscription or authorized users], and it is currently [unmatched / matched but amount is wrong]. Please help confirm the merchant or order relationship and tell me the required documents and deadline.

Submit only necessary information through an official secure channel. Redact order numbers, names and card details in public discussions. Never provide a full card number, security code, password or verification code to an unknown contact.

Make reconciliation part of payment-tool selection

For small teams, standardize order notes and ownership before choosing a payment tool. Check whether it can show transaction status, separate business uses, retain records and provide a reliable support path. Traceability is as important as payment acceptance.
